Activity Groups

Activity Groups are used to organize and control user access to a set of request types.

When you create an activity group, you add one or more request types to the group. Users who are granted access to that activity group can then create requests, perform searches, and run reports on the request types included in that group. They can also be assigned requests of the included types, if their individual security rights are configured to allow assignment.

A user's access to the request types included in a particular activity group may be restricted by the configuration of the properties that the user can access.

To open the Activity Groups page:

  1. Open the Administration Menu page.

  2. Under the LOGBOOK ADMIN heading, click Activity Groups.

To add an Activity Group:

  1. In the Add Activity Group field, enter a name for the activity group.

  2. Click ADD.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.

    The page refreshes and the new activity group appears. The activity group is assigned an Activity Group ID by the system.

  4. In the Default Group field, select a Yes/No value.

    If this value is set to Yes, this activity group becomes a default activity group that each new user is granted access to.

  5. In the Include in Data Extract field, select a Yes/No value.

    If this value is set to Yes, when a data extract is performed, work orders that are of a request type that has been added to this activity group are included in the extract. If the request type belongs to more than one activity group, work orders will be extracted if this value set to Yes for any activity group.

  6. Click UPDATE.

Adding request types to an activity group defines the set of request types that users can access if they have been given security rights to this activity group. To add request types to an activity group:

  1. In the Activity Group field, select the activity group you want to add request types to.

    The list of request types currently included in the activity group are displayed in the yellow pane.

  2. In the Add Type field, select a request type.

  3. Click ADD.

    The selected request type is added to the group and displayed in the yellow pane.

Deleting a request type from an activity group prevents users who have rights to this activity group from further access to requests of that type. Deleting a request type from an activity group does not delete the request type from the system, it removes it from the selected activity group.

To delete a request type from an activity group:

  1. In the Activity Group field, select the activity group you want to delete request types from.

    The list of request types currently included in the activity group are displayed in the yellow pane.

  2. Click the DELETE button to the right of the request type you want to remove from the activity group.

    A dialog box opens asking you to confirm your choice.

  3. Click OK.

Clicking the Excel link generates a report in Excel format that lists every request type and subType included in the group. The report contains one row for each request type/subType combination and contains the following columns of information:

  • Activity Group – the name of the activity group

  • Type – the name of the included request type

  • External Request Type ID – the request type ID if it is mapped to an external system

  • SubType – the name of the included request subType

  • External Request SubType ID – the request subType ID if it is mapped to an external system

  • Billable – indicates whether the work request is billable

  • Bill Code – if the request is billable, indicates the billing code

  • Procedure – the name of the procedure associated with the request subType

  • GL Account A/R – general ledger account number, used when interfacing with external systems

  • Labor Activity – the default type of labor associated with the request subType

  • Labor Activity GL Account – general ledger labor activity account number, used when interfacing with external systems

  • Service Type – indicates the type of service being performed

  • Spend Category – spend category values for cost values, used when interfacing with external systems

  • Commodity Code – commodity code for cost values, used when interfacing with external systems

  • Push WOs to External System – TRUE if work orders of this type/subType are used when interfacing to an external system
